Prioritizing Projects

I understand, it's a different way than I'm used to working whereby I work from a task list which dictates what I start on. The task list is linked to milestones (dates) which determine what's important.

A global tag search would be good.

I see. So you may only have a few projects like Web Design and Online Marketing and then you build task lists with your daily tasks detailed within the task lists. It's then very easy to open one of the two projects and see what you need to do for the day.

I have been running it completely different. Each project is narrowly defined like

Build a Multi-Department Form on the Contact Page

Troubleshoot Workstation #07 - Freezes

and then I would build a task list with all of the tasks associated with the project.

I now have 30 or 40 projects listed which becomes impossible to manage without some type of priority built in.

It may be best to step back on your scope... your projects sound like they would be best as Milestones/Task lists...

If you were going about building a website, you may name the project Website.com, Milestones can be Research phase, Design phase, Development phase, Test phase. etc... Each phase would be broken down further into multiple Task Lists like (for Design phase) Generate Needs list, sketch page mockups, etc...

finally the tasks themselves would be the individual steps you would take to complete the task list item.

If you are organising things at this level you would no longer look to prioritise items at the project level as the tasklists/tasks and miletones will be handling priorities. Projects would remain in alphabetical order so that you may find them easily by name.

Things I'll do first:

2/ My Tasks (current view, grouped by project)
- three links at the top: order by name, order by priority, order by milestone date
- works on both projects and tasks (same ordering)

3/ All my tasks (new button, next to My Tasks), displays all tasks from all projects
- four links at the top: order by name, order by priority, order by priority combined, order by milestone date
- order by priority combined first sorts on multiplication of both priorities

Later:

- drag & drop to reorder



I'm just thinking that 2 & 3 should be combined. It would seem that if you modify the layout of the "my tasks" page to have a column for project name or something, then you wouldn't need to have an additional tab with "all tasks".

Good work Attiks, you could combine myTasks as Ryan suggests... You can provide another option like you've done with the other pages so that you 'group by Projects' (the current default) and the new All Tasks listing with project column.

Haris.TV, thanks for the explanation.

I'm the systems admin/web developer for a fast growing Internet company and I'm unable to use milestones for most of my projects because so many fires come up during the day that I can't realistically assign dates to my projects.

There are some projects that have to be assigned a milestone but not many.

Priorities will work best for me.

- i removed the sidebar, because i needed the space, sidebar stays on default view (group by project)
