Hi,
What's the status of this feature? We want to use activeCollab as a value-add for clients, while simplifying our own communication pipeline. Currently we send out update mails every day, and usually receive replies from clients about the status of their projects. We don't want to force clients to log in to the portal in order to send and receive these updates/comments, but we want them to be able to log in to view the history of the project and collaborate more directly if they desire.
BTW, all-around great software!

Cool, that seems pretty straight forward. Now, is there a way to change the subject of the mail to reflect the actual subject of the new message instead of "[Project] - New message"?

At the risk of being a bit obvious, adding some specific information to the emails could make a big difference in solving the people just hitting reply problem. Like the subject could be
" [project] New Message | DO NOT REPLY"
with the reply-to email being
"DONOTREPLY@[projectdomain]"
Then the content of the message is formatted to accentuate the unidirectionality of the message like:
"This is an automated notification, do not reply through email. To respond pleasae use this link:

Of course, all that would only show if the "show full message in email" setting was turned on. otherwise the simple clean version that just links to the page within aC would show without all the mess created trying to avoid email replies. Also, I think that having the message text (the actual content) displayed cleanly, with some basic formatting seperating it from the rest of stuff in the email keeps it readable despite the lack of usability from the rest of the text, and that having consistent procedural text (i.e. it's basically always the same message about "click here to reply") means that after recieving one or two of these messages a user will just ignore everything but the actual message and will know to click on the link if they have something to say. (i've found this with my wordpress comment moderation, after getting a few I started just scanning the email, url and content of the comment then instinctively knowing where the links were for accept-decline-spam). Also, if they do hit reply the top line of the email they're replying to (which would normally show under what they type) would be warning them not to reply ;)
If anything this would ideally be a user-level option with a global default, that way people who always have aC open in a tab can just have the link while people who would have to work to log in (i'm imagining a client who's using their family computer on the weekend and would have to look up their username and password etc) can make sure it's really important before doing so. Just a global option would of course also be valuable, and I'd definitely turn it on (and recommend having "on" be the default).
Obviously not to imply that aC has any such motives, but to me it always seemed like the only reason not to include the text of the post on the email notification was to get people to your site to look at ads or something, otherwise it's just more value from the email notification service. (though not that I think of it the default behavior for phpBB is to just send a notification, so your concerns aren't that uncommon).

4. If you created an URL with your DNS to access the system (I made it, we use aC only for our intranet) you may want to change the <?php echo ROOT_URL ?> with <?php echo "\nYOUR ADDRESS" ?>
(I don't believe that changing the ROOT_URL at config.php may be nice if your running Apache under Win)
5. Do not use special characters

If this is the only reason why you don't include the whole message, then this is unfair for a majority of AC users who WON'T make such a mistake.
You can always start the message thread with some prominently placed warning message such as:
