Roles and Permissions

There are two types of permissions in activeCollab®:

First are system permissions that define what user can do on a system level, like log in or access administration.

Second type are project permissions that give or restrict access to specific sections in a particular project. Users can have different roles in different projects.

Data Privacy

activeCollab® is designed to give you full control even when you include everyone in your workspace.

People will see only projects they are working on. On top of that, you can mark some discussions and tasks so only members of your team can see them while your clients will not be aware of their existance.

Groups and Clients

Large number of projects and people involved can create disorder and confusion. That’s why you can organize all your projects in project groups. Additionally, each project can have a client.

When properly sorted, you can easily access projects per group or per client.

Milestones

Milestones are important dates in a project. They can be a single day or a time range.

Common milestones are launch dates, important meetings or reviews, presentations to a client, development iterations, etc.

Use milestones to divide big projects into manageable steps.

Tickets, Checklists, Tasks?

Tickets, checklists and tasks will bring your idea to life one step at a time.

Tickets are big tasks that can be added to milestones, divided into smaller tasks and discussed. Checklists are similar, but they do not support comments and attachments. Instead, they behave more like good old todo lists.

Your Projects + Invoicing

It's great to have your project management tool integrated with your billings. This way, you can create and send invoices while collaborating with your clients, from the data you already have: time logs and tickets.

When an invoice is created from a time log, activeCollab® automatically takes care of the status of all associated time records - from billable to paid.

Brandable PDF Invoices

When issuing an invoice, activeCollab sends a PDF with all information that your client needs in order to make a payment: total amount, payment instructions, tax information and other.

All PDF documents sent by the system are branded with your corporate colors and logo, and contain information about your company.

Time Tracking

Time is important, especially if you charge your clients per hour. activeCollab® lets you track how much time is spent on each project or task as well as make a disctinction between time that is billable and the time that is not.

Data collected this way can be used to charge your clients or pay your employees.

Reports

activeCollab® offers a way to filter all the time data you and your users logged. You can filter it by person who tracked the time, day it was logged for, status and project.

Time reports can be saved and executed each time you need them.

Export and Integration

Time report results can be exported in CSV format, and easily imported in any spreadsheet tool, like Microsoft Excel. These tools can be used to further manipulate the data.

Using specialized desktop applications, you can track your time and have it automatically logged into the system through the API.

Project Files

People working on a project can upload unlimited number of related files. Project members will be able to download and discuss uploaded files.

Using visibility property, you can even hide some of the files from your clients and have them available to member of your team only.

Version Tracking

When you upload a file for your associates to work on, changes they make will be tracked as new versions of that file. This way everybody can see how a file evolves and what direction it takes. Plus, everyone can comment and express opinion about the process.

Global Documents

Some files need to be available globally. Because of that, we added Documents in the latest activeCollab® edition. Documents are global files that are independent from any particular project and everybody can see them.

Just like project files, you can mark some of the documents as Private and have them available to the members of your team only.

Always up to Date

Email is one of the best ways to keep up with the projects. That's why activeCollab® will send an email notification to project members when events such as new task creation, new comment or file version occure.

The content of notification emails can be customized by system administrators.

Incoming Mail

Since version 2, activeCollab® allows you to post a comment by replying on email notifications you received. If system receives a message that is not a reply to a notification, it will automatically create a new ticket or discussion based on it.

System that handles incoming messages has full support for reading files attached to them.

Email is Convenient

Everybody knows how to use email. By having ability to send and receive email it's more likely that your clients and employees will adopt the system. Instead of a sudden switch to a new way of working, they can continue to use the tools they are familar with.

API stands for Application Programming Interface. Basically, it means that other applications can communicate with your activeCollab® installation in standardized way.

API can be used to read or post the data from and to the system.

Host it on Your Server

activeCollab® puts you in charge and give you full control over the system. Host it on your own server, web site, or local network, it’s up to you. The important thing is that it’s completely your decision.

activeCollab® lets you have full control over your data and security settings.

Full Source Code

Installation package includes full, unencrypted source code. If you wish to make some changes to the system and make it fit your need, you're free to do that.

Flexible Permissions

Keep your data safe by defining roles for your users. Roles work on system and project level. Each user has one system role that controls his access permissions. On top of that, user can have different roles in different projects that control which project section he has access to.

Data marked as Private is top secret and exposed only to people with special privileges.
